Two blocks we took over, and what changed.

Taken over from a one man band who had stopped answering. Eleven communal fire doors failed inspection, the stairwell had been part painted for two years and the entry phone released on any code. Eight weeks, one van three days a week, $18,400 across eleven separate invoices the managing agent had already budgeted for.

Moving a portfolio across takes about three weeks.
1 Send the address list
A spreadsheet is enough. We price the portfolio off the list and a walk round of two of your worst blocks, and come back inside five working days with a rate card and an SLA you can put in a tender document.
2 Keys, access and a start date
Lockboxes go on, keys are tagged to property references and signed into the yard, and every gas and electrical expiry date you hold gets loaded so nothing lapses in the handover. Your coordinators get board logins the same week.
3 The first month is measured, not promised
We report weekly for the first 30 days instead of monthly. If we miss the response time on more than 5% of jobs in that month, the month is not invoiced. That clause is in the contract, not on a poster.
What agents ask before they move a portfolio
How small a portfolio will you take?+
Eight properties. Below that the four hour promise costs you more than it saves you, because you are paying for cover you will use twice a year, and we will tell you so rather than sign you.
What happens after 7pm?+
The dispatch line rings the on-call van, not an answering service. One van is on call every night and every weekend on a rota of six. Out of hours emergency labour is $95 an hour rather than $62, with a one hour minimum.
Can tenants report a job themselves?+
If you want them to. Each block gets a reporting link and a card for the lobby. The job still lands on your board first, and you set which trades and which values go straight to a van without your approval.
Do you charge a callout fee?+
Not on contract properties. Labour runs in 15 minute blocks after the first half hour, and there is no minimum charge for a visit to a block one of our vans is already working on that day.
Are your people checked?+
Eleven tradespeople, all on the payroll, all background checked, all carrying a photo card the tenant can see through the door. No subcontracted labour on reactive work, so the same faces come back to the same blocks.
What if a job needs a trade you do not have?+
We keep three firms on retainer: a gas engineer for boiler replacements, a roofer and a drainage contractor with a jetter. They invoice us, we invoice you at cost plus 10%, and the job stays on your board the whole time.
Who holds the keys?+
Lockboxes on the block where the agent allows it, and everything else tagged to a property reference and signed in and out of the yard every day. Nothing goes home in somebody’s pocket.
Can we watch the board before we sign anything?+
Yes. Give us two blocks for a month at our normal rates with no contract, and watch every job on them. Most agents move the rest after about three weeks.
